General Booking Policy:

1. Certain destinations may have different travel guidelines for specific times during the year. Please abide by all laws and guidelines as applicable.
2. Policies are booking specific and would be informed to the guest at the time of booking or upon Check-In.
3. Reference to RURAL YATRA includes its affiliates, employees and officers. “Property Name” refers to the Homestay, Eco Resort or Eco Camps in which you have made a valid booking through RURAL YATRA.

Check-in Policy:

1. The primary guest must be at least 18 years of age to be able to check into the Property.
2. The usual standard check-in time is 12 noon. RURAL YATRA tries to ensure that you can check-in any time after that till your reservation is valid.
3. It is mandatory for all guests to present valid photo identification at the time of check-in. According to government regulations, a valid Photo ID has to be carried by every person above the age of 18 staying at the Property. The identification proofs accepted are Aadhar Card, Driving License, Voter ID Card, and Passport. Note that PAN card is not acceptable. Without an original copy of a valid ID, you will not be allowed to check-in.
4. After reaching the Property, if you face any difficulty in check-in and it cannot be resolved by the Property Owner/Manager, you are requested to contact RURAL YATRA immediately. RURAL YATRA will verify the issue with the Propertyand post verification, you would be provided the following assistance:
   
   a. RURAL YATRA will try to arrange for accommodation in the same Property
   
   b. RURAL YATRA will try to provide you with alternate accommodation in its other listed properties if the same is available.
   
   c. If RURAL YATRA is unable to provide alternative accommodation or you do not accept such alternate accommodation, you may be offered full refund.
   
   d. RURAL YATRA will not be liable for compensation beyond your booking payment.
5. Unless specifically intimated, RURAL YATRA shall not be held liable to refund the booking amount or any part thereof in case of unavailability of rooms due to natural disaster (earthquake, landslide etc.), terrorist activity, government guidelines or any force majeure act, beyond the control of RURAL YATRA.

Early Check-in and Late Check-out:

1. Early Check-In: The standard check-in time in Property is 12 noon unless mentioned otherwise in your Booking voucher. Early check-in is subject to availability. Extra charges will usually apply as per below policy:

Complimentary breakfast will not be available to you for the day of early check in.

2. Late Check-out: The standard check-out time in Property is 11AM unless mentioned otherwise in your Booking voucher. Late check-out is subject to availability and cannot be confirmed with the Property in advance. Extra charges will usually apply as per the below policy: 

Booking Extension Policy:

Any extension of stay at the Property is subject to availability of the rooms at the current on-going rate and not at the rate at which the original booking was made.

Cancellation and Refund Policy:

1. You can cancel your booking using the RURAL YATRA website or Call Centre.

2. The applicable refund amount will be credited to you within 7-14 working days. RURAL YATRA reserves the right to debit from RURAL YATRA Money account, in case of cancellation amount being higher than money already paid by you.

3. Some Property do not accept bookings from unmarried couples, do not accept local id proofs. This information is available to the Guest prior to making the booking. For any cancellations or check-in denial associated with such bookings that are dishonoured by the Property, RURAL YATRA shall be under no obligation to refund any amount to the Guest.

4. Property reserve the right to deny check-in where customers are unable to provide a valid government id or where minor Guests are travelling unaccompanied or if the Property is suspicious of the Guests check-in at it’sProperty. Under all such cases RURAL YATRA shall be under no obligation to refund any amount to the Guest.

6. For corporate bookings, the cancellation policy mentioned on your contract will apply.

7. In case no cancellation policy is mentioned on the Property details page, the following cancellation policy shall apply:

• Booking cancelled 7 days prior to arrival will carry 10% retention charge of the total booking amount.
• Booking cancelled within 7-3 days of arrival date will attract 25% retention charge.
• Booking cancelled within 3-2 days of arrival will attract a 50% retention charge.
• Booking cancelled less than 48 hrs of arrival date will carry 100% retention charge.
• Booking is non-transferable.

Guest cancellation policy: For booking specific cancellation policy, please refer to your booking voucher.

No Show: No show will carry a 100% retention charge.

Long Stay Bookings

For bookings of more than 7 nights, you have to settle all outstanding payments on a weekly basis. Further accommodation is subject to settlement of the outstanding amount.

Triple Occupancy Policy:

Some Property allow triple occupancy by providing an extra mattress for the third person for extra fee. However no extra bed is usually provided.

Visitors Policy

1. You should check with the Property for its Visitor Policy.
2. In order to maintain privacy of guests and the tranquility of the Property, RURAL YATRA encourages its Property Partners to have a visitor policy where:
   
   a. Visitors are generally allowed to meet guests in the guest rooms during the day, except if there is an emergency.
   
   b. Visitors are not to be allowed to stay overnight.
   
   c. The Property front desk requires all visitors to present a government approved photo identity prior to accessing guest floors/rooms.

Child Policy

1. Stay of 1 child up to 5 years of age is complementary without the use of an extra mattress.
2. Breakfast charges may be applicable for the child.

Code of Conduct:

1. Illegal activities are not permitted in any Property booked at RURAL YATRA.
2. You should be aware that the Property may refuse service or evict you
   a) For refusal or failure to pay for accommodation,
   b) If you act in a disorderly fashion as to disturb the peace of other guests,
   c) If you destroy, damage, deface or threaten harm to Property or guests,
   d) Any of your actions are deemed inappropriate by the Property.
3. Please keep the Property room in a good condition and maintain hygiene and cleanliness. You may be held liable for any damage to Property assets (except normal wear and tear).

Smoking, Drugs and Alcohol

1. Smoking is prohibited in RURAL YATRA Townhouse. Some Property may prohibit smoking in their guest rooms so it is prudent to check with the Property Front Desk.
2. Anyone found using or under the influence of illegal drugs or substances classified under the Narcotic Drugs and Psychotropic Substances Act, 1985 will be reported to the police and asked to leave the Property. Any evidence or suspicion of drug use at the Property will also be reported immediately to the police.
3. Drinking alcohol is prohibited in all public areas including; in the Property’s Common Area, Dining Hall, and parking areas of RURAL YATRA Property. Please contact the Property Front Desk regarding consumption of alcoholic beverages within your room, without disturbing the discipline of the Property or other guests.

Safety and Security

1. For your own safety, please follow fire safety and emergency response procedures as directed by Property staff.

2. RURAL YATRA/Property are not liable for lost, misplaced, damaged or stolen valuables or belongings.

Contact Policies:

1. You may be contacted any time before your check-in date to confirm your arrival status/arrival time through calls or messages. If RURAL YATRA does not receive a response from you after multiple attempts, your booking may be put on hold or cancelled. RURAL YATRA will reinstate your booking when you contact us back or make a payment through our secure payment options, subject to availability.
2. As we continue to strive to improve our services, we may reach out to you for your feedback on your experience through calls or messages.
3. We might reach out to you for offers.

Beware of Fraud:

1. RURAL YATRA does not authorise any of its employees, consultants, third-party vendors, associates to collect payment in any other form other than payments from secure RURAL YATRA gateway and its affiliated OTA payment gateway links.
2. Any instances where collection of payment is attempted from any unauthorized payment gateways other than the ones mentioned above are acts of fraud. Encountering and acting on the same is solely on your own accord and discretion. RURAL YATRA will not be responsible for any loss/liability arising out of such an event.

Collection of Information

We collect your personal information relating to your identity, demographics and when you use our platform, services or otherwise interact with us during the course of our relationship and related information provided from time to time. Some of the information that we may collect includes but is not limited to Information provided to us during sign-up/registering or using our Platform such as name, date of birth, address, telephone/mobile number, email ID, occupation and any such information shared as proof of identity or address. We may also request you to share your PAN, GST number, Government issued ID cards/number and Know-You-Customer (KYC) details to check your eligibility for certain products, services or events including but not limited to credit and payment products. Some of the sensitive personal information such as your bank account or credit or debit card or other payment instrument information or biometric information such as your facial features or physiological information (in order to enable use of certain features available on the platform to assist you with your shopping experience) or password etc. Some of the information such as your shopping behaviour, preferences, call data records, device location, voice, your browsing history, and other information that you may provide to us from time to time. Our primary goal in doing so is to provide you a safe, efficient, smooth, and customized experience. This allows us to provide services and features that most likely meet your needs, and to customize our Platform to make your experience safer and easier. In general, you can browse the platform without telling us who you are or revealing any personal information about yourself. Once you give us your personal information, you are not anonymous to us. Where possible, we indicate which fields are required and which fields are optional. You always have the option to not provide information, by choosing not to use a particular service or feature on the platform. We may track your buying behaviour, preferences, and other information that you choose to provide on our platform. We use this information to do research on our users' demographics, interests, and behaviour to better understand and serve our users. This information is compiled and analysed on an aggregated basis. This information may include the URL that you just came from, which URL you next go to, your computer browser information, and your IP address. If you enrol into our loyalty program or participate in third party loyalty program offered by us, we will collect and store your personal information such as name, contact number, email address, communication address, date of birth, gender, zip code, lifestyle information, demographic and work details which is provided by you to us or a third-party business partner that operates platforms where you can earn loyalty points for purchase of goods and services, and/or also redeem them. We will also collect your information related to your transactions on platform and such third-party business partner platforms. When such a third-party business partner collects your personal information directly from you, you will be governed by their privacy policies. We shall not be responsible for the third-party business partner’s privacy practices or the content of their privacy policies, and we request you to read their privacy policies prior to disclosing any information. If you set up an account or transact with us, we may seek some additional information, such as billing address, credit/debit card number and a credit/debit card expiration date and/ or other payment instrument details and tracking information from cheques or money orders to provide services, enable transactions or to refund for cancelled transactions. If you send us personal correspondence, such as emails or letters, or if other users or third parties send us correspondence about your activities on the platform, we may collect such information into a file specific to you. While you can browse some sections of our Platform without being a registered member, certain activities (such as placing an order or consuming our online content or services or participating in any event) requires registration. We may use your contact information to send you offers based on your previous orders or preferences and your interests. If you receive an e-mail, a call from a person/association claiming to be from Rural Yatra and seeking sensitive personal information like debit/credit card PIN, net-banking or mobile banking password, we request you to never provide such information. We or our affiliate logistics partner DO NOT at any time connect with you requesting for such information. If you have already revealed such information, report it immediately to an appropriate law enforcement agency.

Use of Information

We use personal information to provide the services you request. To the extent we use your personal information to market to you, we will provide you the ability to opt-out of such uses. We use your personal information for the safety of our guests and to understand who we are accommodating at our properties for the safety of our staff; enhancing customer experience; to resolve disputes; troubleshoot problems; help promote a safe service; collect money; measure consumer interest in our products and services, inform you about online and offline offers, products, services, and updates; customize your experience; detect and protect us against error, fraud and other criminal activity; enforce our terms and conditions; conduct marketing research, analysis and surveys; and as otherwise described to you at the time of collection of information. We will ask for your permission to allow us access to your text messages (SMS), instant messages, contacts in your directory, camera, photo gallery, location and device information: (i) to send commercial communication regarding your orders or other products and services (ii) enhance your experience on the platform and provide you access to the products and services offered. You understand that your access to these products/services may be affected in the event permission is not provided to us. In our efforts to continually improve our product and service offerings, we collect and analyse demographic and profile data about users' activity on our platform. We identify and use your IP address to help diagnose problems with our server, and to administer our platform. Your IP address is also used to help identify you and to gather broad demographic information. We will occasionally ask you to complete surveys conducted either by us or through a third- party market research agency. These surveys may ask you for personal information, contact information, gender, date of birth, demographic information (like pin code, age or income level) attributes such as your interests, household or lifestyle information, your purchasing behaviour or history preference and other such information that you may choose to provide. The survey may involve collection of voice data or video recordings. Participation in these surveys are purely voluntary in nature. We use this data to provide you with content that we think you might be interested in.

Reservation Data

In order for us to confirm a reservation for you, we do require some information. This will usually consist of:

• Your name
• Telephone or mobile number – in case of an emergency
• Gender
• Nationality
• Date of Birth
• Identification data i.e. Passport, Driving License details
• Credit card details, including the three-digit code that appears on the back of your credit card
• Date of arrival and departure
• Email address

Upon arrival, we will require the same information from your fellow travellers. Please ensure they are all aware of this to ensure a quick and efficient check-in.

Credit Card Data

In order to guarantee reservations via all channels (telephone, website or smartphone application, but not restricted to), we require a full 16 digit debit/credit card number, name on the card, card type (we accept VISA, Mastercard or Maestro), three-digit security code and the expiry date.

Your debit/credit card details are only used to secure your booking and Rural Yatra will only debit the account if you do not follow our cancellation procedure. Reservations that are cancelled at least 24 hours prior to arrival are not charged for, whereas no-shows or failing to cancel in excess of 24 hours will incur a charge for the first night.

Rural Yatra indemnifies itself against all data use on and reservations made via third party websites/agents. Please refer to their relevant privacy policy and terms and conditions.

Guest Personal Data

Rural Yatra respects guest privacy and will not sell or disclose guests’ personal information to any other person, business or third party unless in the case of an emergency and/or it is seen as part of our duty of care.

Keeping Our Information Up To Date

As an accommodation and leisure provider, we have guests returning to our properties on a regular basis. It is your duty to inform us if any of your personal information which we hold about you needs to be updated. We may contact you at any time if you have booked accommodation with us and we suspect we hold false information about you.

No permission is needed to take photos or film at our properties. However, we do ask if photographing or filming other guests not part of your group that you seek permission from them first. Verbal consent is solicited as a goodwill gesture.

On occasions, we may commission crews to film or take photographs at our properties for promotional purposes. If you do not wish to be filmed or photographed, you are required to voluntarily leave the filming or photography area.

Disclosing Your Information To Third Parties

Other than the for the purposes referred to in this policy, we will not disclose any personal information without your permission unless we are legally obliged to do so (for example, if required to do so by court order or for the purposes of prevention of fraud).
